We have included a full programme, accommodation and travel details, and other tips for your stay to help ensure that you are well-prepared and can enjoy a smooth and productive event.

Standard accommodation dates

We are pleased to include accommodation in our educator and service provider packages for the following dates:

Wuhan –  Thursday 13 – Sunday 16 November (3 nights)
Beijing – Sunday 16 – Wednesday 19 November (3 nights)
Guangzhou – Wednesday 19 – Friday 21 November (2 nights)

Hotel rooms are booked on a bed and breakfast basis and are reserved under delegates’ names. Remember to use your passport or a valid ID to check in.

Flexible accommodation days

If you would like to adjust your hotel reservations, we are pleased to be able to offer our delegates flexibility around city change-over days at no additional charge.

For example, if you would like to leave Wuhan for Beijing a day earlier on Saturday 15, or Beijing for Guangzhou on Tuesday 18 November, we can adjust your reservations.

Please contact the StudyWorld team before Friday 17 October if you would like to adjust your hotel reservations. Any changes after this date will be subject to cancellation fees.

Booking extra nights

We have negotiated special rates if you wish to book additional nights at the StudyWorld China event hotels.

The rates below are valid for up to two nights before and after the event.

Please inform the team before Friday 17 October. The cost of the additional nights will be paid by you directly to the hotel on your arrival.

Cancellations of additional nights after Friday 17 October must be paid in full.

Travelling to China

Visas and entry into China

Visas for UK passport holders

British Passport holders require a visa to enter mainland China. You must apply for a visa prior to your travel.

Please note that from 1 November 2018 Chinese Visa Application Centres capture all applicants’ fingerprints on behalf of the Chinese Embassy and Consulates in the UK in accordance with Chinese laws and regulations.

Applicants applying for Chinese visas are required to submit the application in person to have their fingerprints and photo taken at the Visa Application Centres. Visitors to China whose fingerprints and photo do not match may be denied entry.

Letter of invitation

The Department for Business & Trade can provide an official invitation letter for those who require a visa. Please request the letter of invitation template from the DBT, via English UK, and then submit your letter no more than three months before travel. Allow up to five working days for your signed and stamped letter to be returned.

Visa free countries

From 1 July 2024 to 31 December 2025, China is implementing a unilateral visa-free policy for ordinary passport holders from the following countries: Switzerland, Ireland, Hungary, Austria, Belgium, Luxembourg, France, Germany, Italy, The Netherlands, Spain, Malaysia, New Zealand, Australia, Poland, Portugal, Greece, Cyprus, Slovenia, Slovakia, Norway, Finland, Denmark, Iceland, Andorra, Monacco, Liechtenstein, South Korea, Brunei, Bulgaria, Romania, Croatia, Montenegro, North Macedonia, Malta, Estonia, Latvia and Japan.

If you hold an ordinary passport from one of these countries you may travel to China for business, tourism, family visits and transits for no more than 30 days without a visa.

Your journey to China

Organising your flights to China

We encourage you to organise your travel to China well in advance for the best prices and most convenient options.

Please note, the StudyWorld China event package does not include international flights to China or domestic travel within China. Each representative is responsible for booking their own travel.

Arrival airports

Wuhan Tianhe International Airport (WUH)

The Shangri-La is approx. 35km from the airport and 40 minute taxi ride.

Beijing Capital International Airport (PEK) – Star Alliance Airlines

The China World Trade Centre hotel is approx. 30 km from the Beijing Capital International Airport.

Beijing Daxing International Airport (PKX) – Air China, Finnair, LOT

The China World Trade Centre hotel is approx. 45 km from Beijing Daxing International Airport.

Airport taxis

It is safe to take a taxi from Wuhan and Beijing airports. Taxi drivers take payments in cash, WeChat Pay and Alipay.

Travel within China

Despite its size, China is incredibly well connected and easy to travel around.

With the world’s largest high speed rail network connecting major cities, we prioritise train travel within China wherever possible for convenience, comfort and sustainability.

Please note, train tickets can only be booked and confirmed within two weeks’ of travel. It is possible on some websites (such as trip.com), to reserve your train tickets up to two months before travel. Please be sure to check the terms and conditions of the booking platform you use.

Closer to the event, the team will share their domestic travel arrangements in case any delegates would like to travel on the same flights/ trains.

Please note, the StudyWorld China event package does not include international flights to China or domestic travel within China. Each representative is responsible for booking their own travel.

Battery restrictions on flights

Electronic devices containing batteries, backup batteries and powerbanks are restricted on flights in China, following the Civil Aviation Administration of China’s (CAAC) safety rules.

  • Devices with lithium batteries and portable chargers, batteries and powerbanks are not allowed in checked luggage.
  • They may be packed in your hand luggage
  • Portable chargers, batteries and powerbanks with a capacity of less than 100 watt-hours are allowed in hand luggage.
  • Each passenger is allowed to carry no more than two portable batteries or powerbanks with a capacity between 100-160 watt-hours.
  • Devices with lithium batteries, backup batteries and powerbanks with a capacity above 160Wh are not allowed on the flight
  • Devices, batteries and powerbanks with an unspecified capacity (including illegible or damaged labels) are not allowed on the flight.

What are lithium batteries?

Lithium batteries are usually used in notebook PCs, mobile phones, power banks and digital cameras.

StudyWorld meetings

Ahead of the event, you will have pre-scheduled the majority of your meetings using industry-leading meeting technology, Marcom eSchedule PRO.

Meeting scheduling and attendance at StudyWorld China is very flexible. For example, agents you have not arranged to meet may sit in your scheduled meetings. Or agents may change the time they want to meet you at the last-minute.

To fully benefit from this flexibility, make yourself available for last-minute meetings and adopt an agile attitude towards your schedule and who you will meet.

During the event, the StudyWorld and Bonard teams will be on hand to help you manage your schedule.

Getting set up on Marcom eSchedule PRO

Marcom eSchedule PRO will go live mid-October. At this time, we will send you an email from Marcom Connect containing your username and password.

If you are a new Marcom eSchedule PRO user, click on the “Getting Started” link which can be found above the menu bar when you are logged on to your account.

Once you have logged in, complete your event profile to explain your organisation’s services and objectives. Then search the event database to decide who you want to meet.

Use the advanced filters to help you find the partners you want to meet and send them a meeting request.

Your table and materials

All educators and service providers are allocated individual tables in the meeting hall at StudyWorld China. Each table includes:

  • four chairs
  • a tablecloth
  • and a table name plate displaying the organisation name and table number.

We also make a limited number of power sockets available in the main exhibition room for charging laptops, tablets, etc. Unfortunately a power socket cannot be guaranteed to every table.

We encourage you to bring a thoughtful selection of materials to brand your table and to give the Chinese agents you meet the option to take information.

What to bring

Previous delegates have found it effective to offer both physical and digital materials and information, such as brochures and leaflets. Most agents prefer you to send them your information via WeChat or email.

If your brochures or leaflets are only available in English, a one-page summary of your courses or services translated into Chinese will be valued by agents.

All promotional material must fit on top of your table. Materials that obstruct the view of other tables are not permitted.

Translation services

If you would like marketing materials translated from English to Chinese (Mandarin), Bonard can assist with sourcing a local translator.

The English text needs to be supplied at least eight weeks in advance of the event. The translated text will be supplied in a document (Word) ready to be typeset by your designers.

Printing marketing materials in China

Printing brochures, leaflets, flyers, etc. locally in China can help you save money as well as reducing transport emissions.

Our StudyWorld China event partner, Bonard, has recommended a local printer. Delegates are invited to contact the printer via WeChat, which has an inbuilt translator. Please note that payment for any services will be via WeChat Pay or Alipay. Grace Zhu from Bonard is happy to help if you need any further assistance.

Websites and social media

WeChat

WeChat is a Chinese instant messaging, social media, and mobile payment app. It provides a variety of features including text messaging, voice messaging, broadcast (one-to-many) messaging, video calls, photograph and video sharing, as well as location sharing.

WeChat also allows users to exchange contact information with people nearby via Bluetooth or by scanning a person’s unique QR code. We recommend you download WeChat ahead of your visit to China. Most agents will share contact information via WeChat.

WeChat is also useful for payments. WeChat enables international users to link their credit or debit cards to the WeChat Pay platform. Once your cards are successfully linked, you can use WeChat Pay to make payments to merchants across various sectors, including dining, shopping, transportation and hotels.

Accessing websites blocked in China

Some popular websites are not available to access in China. These include many social media sites such as Facebook, X, YouTube and Instagram, as well as search engines, news and productivity sites Google, New York Times, Dropbox and Microsoft OneDrive.

To access these websites in China, you will need to download/install a Virtual Private Network (VPN) to your device(s) before travelling to China. VPN’s vary in cost and speed of access but include ExpressVPN and NordVPN.
